Sectors · Outpatient centres and clinic groups

Clinics where the patient reaches the doctor with the data already there.

We connect the systems your clinic already uses and build the software that is still missing. Online booking offers each specialty its own appointment types and slot lengths. Patients fill in their questionnaires at home before the visit. Referrals and earlier findings are in the record before the patient sits down. A group of clinics sees the capacity of all its sites in one view.

The patient path

A visit today, from the booking to the follow up.

01

Booking

The patient calls or books online. The appointment type and the slot length depend on the specialty.

ImprovementOnline booking offers only the slots that fit the specialty, so fewer calls reach the desk.

02

Preparation

Staff read out the fasting rules and what to bring on the phone, or send them as a PDF.

ImprovementThe preparation instructions go out with the confirmation and again in the reminder.

03

Referral and findings

The referral and earlier results arrive by email, on paper or through the national record.

ImprovementReferrals and findings are attached to the appointment, so the doctor reads them before the visit.

04

Arrival

Each specialty has its own paper form, and staff type the answers in at the desk.

ImprovementPatients answer online at home, and the answers go straight into the record.

05

Consultation

The doctor documents the visit and sets the follow up visit.

ImprovementThe follow up visit is offered to the patient as soon as the doctor sets it.

06

After the visit

Follow up visits and outcome questionnaires depend on the patient calling back.

ImprovementReminders and questionnaires go out automatically, so fewer patients drop out of follow up.

07

Group reporting

Each site exports its own figures, and staff put the group report together by hand.

ImprovementThe group report is built from the systems of all sites, and every site is counted the same way.

The goal

More visits per day and more satisfied patients, with the same desk and the same doctors.

For the centre or the group

  • One view of capacity across specialties and sites
  • Fewer empty slots from missed appointments
  • Acquired sites connected before they move to a common system

For doctors and the desk

  • Questionnaires answered at home before the visit
  • Fewer calls about rebooking and preparation
  • Referrals and earlier findings in front of the doctor

For patients

  • The right appointment type, and only slots that fit
  • Preparation instructions before the day of the visit
  • A reminder from which they can cancel or rebook
Problems and solutions

What we hear, and what we do about it.

Patients book the wrong appointment type, and the specialist slot is lost.

We set up each appointment type with its length, room, device and preparation rules. Each doctor's fixed days come from one schedule. Online booking then offers only the slots where all of them fit.

Digitalisation and workflow automation
Every specialty has its own paper form, and the desk types the answers in.

A single questionnaire system holds a separate form for each specialty. The patient fills it in at home, the answers are scored before the visit, and the doctor opens a short summary in the record. Adding a specialty means adding a form.

Digitalisation and workflow automation
The doctor sees the referral when the patient sits down.

We attach referrals and earlier findings to the appointment before the patient arrives. Results from partner laboratories come in electronically, and PDF reports are read into a draft that staff check.

Interoperability
Every clinic we acquired brought its own booking system, and group figures are built by hand.

We build a shared layer that reads appointments, patients and capacity from the system of each site. The group gets one booking page and one report, and a patient can be offered the nearest free slot. Sites move to a common system later, one at a time, if the group decides to.

Interoperability
Each new connection is another interface project with a system supplier.

We write the interface specification and tell you the effort before you sign. We test the connection, including what happens when it fails, and give your IT team written instructions for the day a link goes down.

Interoperability
We are afraid of a project that replaces everything and never ends.

Each step is a separate contract with a written result, and the first one can be a single specialty. We connect the booking system you run today. We replace it only if it has no interface and its supplier will not add one.

How we work
A questionnaire app may turn into a medical device nobody planned for.

The intended purpose decides whether a function is a medical device function. Collecting answers and calculating the published score of a validated questionnaire for the record is not a medical purpose on its own. An interpretation of the score for a clinical decision, such as a severity class, a symptom alert or an urgency recommendation brings it under the MDR. We write that line into the specification, and a function beyond it is built under IEC 62304 or covered by a CE marked or FDA authorized product. For the US market, we check the same functions against the FDA guidance on clinical decision support software and on device software functions.

FAQ

Frequently asked questions.

01

Can online booking handle different slot lengths for each specialty and each doctor?

Yes. Each appointment type has its own length, room, device and preparation rules, and each doctor's days come from one schedule. The booking page offers only the slots where all of them fit.

02

Do we have to replace our booking system?

No, if it has an interface. We connect the system you run to the record and the questionnaires. We replace it only if it has no interface and its supplier will not add one.

03

Do all sites of our group have to move to one system?

No. A shared layer reads appointments, patients and capacity from the system of each site and gives the group one booking page and one report. Sites move to a common system later, one at a time, if the group decides to.

04

Can referrals and earlier results reach the doctor before the patient arrives?

Yes, if they exist in electronic form. The national record systems are Telematikinfrastruktur and ePA in Germany, ELGA in Austria, EPD in Switzerland and EESZT in Hungary. Laboratory results come in over HL7 v2 (a standard for exchanging clinical messages), or as PDF reports read into a draft that staff check. Both are attached to the appointment.

05

Is a questionnaire app a medical device?

Not while it only collects the answers and calculates the published score of a validated questionnaire for the record, and its stated intended purpose is not a medical one. An interpretation of the score for a clinical decision, such as a severity class, a symptom alert or an urgency recommendation brings it under the MDR. We write that line into the specification. For the US market, we check the same functions against the FDA guidance on device software functions.

06

How is patient data handled under the GDPR?

Health data falls under Article 9 of the GDPR. Patient data stays in your systems, and access is set by role and logged. We prepare the data protection impact assessment for a new system with your data protection officer. Silurus Software works as processor under a data processing agreement. In the US, the same work runs under HIPAA and a business associate agreement.

07

What does a first project cost, and how fast can it start?

The first call is free. Each step after it is quoted individually, with scope, deliverable, duration and price agreed in writing. We reply within one business day, and a project can start within two to three weeks of signature.
